BHB/BHD - Board Workshops, Conferences and Conventions

Code: BHB/BHD
Adopted: 1/13/82
Re-adopted: 10/11/95, 8/13/97
Original Code: 2810

Recognizing the benefits derived from continuing in-service training and development for its members, the Board encourages participation of all members at appropriate workshops, conferences and conventions. However, in order to control both the investment of time and funds necessary to implement this policy, the Board has established the following principles and procedures for its members:

  1.  The superintendent shall inform Board members, in a timely manner, of impending workshops and conventions of which he/she is aware. The Board will decide which meetings appear to be most promising in terms of direct and indirect benefits to the Board and the district.
  2.  Funds for participation at such meetings will be budgeted. Inasmuch as financial limitation is always a concern, the Board will designate which of its members would be the most appropriate to participate at a given meeting.
  3.  Board members will be reimbursed for reasonable and necessary expenses as follows:
    1.  Mileage and Travel
      1.  Mileage
        1.  All mileage required by Board activities outside district boundaries shall be reimbursed at the same rate as approved for staff mileage.
      2.  Travel
        1.  Airfare shall be provided at coach rate.
        2.  Car rental shall be provided on intermediate or smaller size cars as required for Board activities.
        3.  Taxi or bus fares shall be reimbursed as required for Board activities.
        4.  Parking fees shall be reimbursed as required for Board activities.
    2.  Lodging
      1.  Lodging shall be provided for Board members at the single room rate at the facility used.
    3.  Workshop, Conference and Convention Meals
      1.  Workshop, conference and convention meals will be provided for Board members as follows:
        1.  Workshop, conference and convention associated meals

For meals which are part of the organized activities of a workshop, conference or convention, the cost as established by the sponsor is authorized.

  1.  Non-workshop, conference and convention associated meals

For meals not a part of the organized activities of a workshop, conference or convention but required while on such approved activities, the reimbursement rate will be the same as approved for staff meals.

  1.  Other unanticipated workshop, conference or convention expenses may be reimbursed upon itemized request.
  1.  When a workshop, conference or convention is not attended by the full Board, those who do participate will be requested to share information, recommendations and materials acquired at the meeting.
